Send automated appointment SMS confirmations

Learn how to set up an automated SMS confirming a customer's appointment has been booked.

ℹ️ This feature is available in Grow and Pro plans.

ℹ️ This refers to SMSs automatically sent to clients to confirm their appointment. To set up other types of SMS campaigns, please refer to the following:

Access the Appointment confirmation message

  • From the Menu select Messages.
  • Select the "Appointment confirmation" message under the "After booking" category.

  • Select the “SMS” message.

Activate message and set send time

  • Select the pencil icon next to “Details” to edit your SMS confirmations.
  • Ensure the message is set to "Active".

  • Set your Message schedule. Firstly, set “Automatic sending” to “Active”.
  • Choose the time of day and how many days before the appointment the message should be sent out.

Edit SMS copy

  • Under “Template” select the default template or customise the message by entering your own copy.
  • You can select the “Insert field” dropdown for various personalisation fields to include in your message, such as Customer Name, Appointment Time, and more.

  • Set up reply phrases for clients to confirm or cancel their appointments. By default these are “YES” and “NO”, but these can customised as desired.

  • Click "Save" in the bottom right-hand corner to save your changes.

Check your character count

  • Be sure to consider how many SMSs your message will require. A single SMS uses 160 characters (including opt out instructions, personalisation fields), so anything more will affect how many you get billed for.
  • Once you’ve saved your changes, go back into the “Appointment confirmation” message and scroll down to “Template” to see the character and message count of your confirmation SMS. Click on “Template” to edit the message.

⚠️ Don’t forget to tell customers:

  • They must respond with the exact reply phrased (e.g. “Yes” instead of “Y”) for the reply to be received.
  • SMS confirmations will come from an unknown number each time.

Track the status of your SMS confirmations

  • From the Menu select Appointments.
  • At the bottom of the screen navigate to “Confirmations”.

  • Select a pre-fixed time period to view your SMS confirmations for OR select a custom date range.
  • Then select “Run report”.

  • Here you’ll be able to see the when the SMS confirmation was sent for a particular customer and their reply date (if any).
