Setting Up Clubs and Managing VIP Points in Shortcuts
This guide walks you through creating a club, configuring point rewards, and managing VIP points in Shortcuts.
Creating a New Club

Navigate to Club Setup
- Go to Setup in the main menu.
- Scroll to the bottom (using the green arrow) and select Club.
- Click New to create your club.

Enter Club Details
- Name your club and click Done.
- Decide if clients will earn points for services/products by selecting Yes.

Configure Club Options
- Assign discounts for services, products, or sundries.
- Add a description and set an expiry duration (e.g., 12 months).
- Define point-earning rules (e.g., 5 points per $100 spent).
- Configure point redemption rules:
- Minimum points for redemption (e.g., 25 points).
- Optional: Limit points to specific days or categories (services/products).
- Save your settings.
Linking the Club to Clients

Default Club Assignment for New Clients
- Go to Configuration > General > General Settings.
- Link the default club to your newly created VIP club.
- All new clients will automatically be added to the club.

Manually Adding Existing Clients
- Open a client’s profile via their appointment.
- Add them to the club from their profile settings.
Processing Sales and Tracking Points

Earning Points
- At checkout, clients automatically earn points based on spending.
- Example: A $130 transaction earns 5 points (based on $100 = 5 points rule).
- Points details will be printed or emailed on receipts.

Viewing Point Balances
- Go to the client’s profile, select the Points tab to view:
- Current balance.
- Accumulated, redeemed, or expired points.

Redeeming Points

At Checkout
- During payment, the client’s points balance is listed at the top of the Point of Sale screen.
- To use points press the number on Total.
- Enter the number of points to redeem (e.g., 5 or 10 points per transaction).
- The system deducts redeemed points, and the client pays the remaining amount.

Custom Redemption Rules
- Set rules for maximum points per transaction.
- Ensure points are within expiry limits.
Managing Points

Manual Adjustments
- Access the Points tab in the client profile. Go to History > Points.
- Use the dropdown menu to:
- Add, remove, or clear points.
- Update points balances as needed.

Client Queries
- View detailed points history to address client questions.
