Set Up Employee Capabilities in Shortcuts
Setting up capabilities in Shortcuts is an essential feature for ensuring that team members are only booked for services they are qualified to perform.
Key Steps to Setting Up Capabilities
-
Accessing Capability Setup
- Navigate to the Setup section in the navigation panel.
- Select the Capabilities icon to begin the configuration.
-
Creating Capability Categories
- Click New to create a new capability category (e.g., Hair or Beauty).
- Assign the relevant services to each category based on the team's qualifications.
-
Assigning Services to Categories
- Add services by selecting a category and clicking Add, which will add all services within that category.
- Alternatively, expand a category and add services one by one to refine service offerings according to team skills.
-
Assigning Employees to Services
- After adding services, assign employees who are qualified to perform each service.
- You can add employees individually or select multiple at once for batch assignment.
-
Ensuring Services Are Properly Categorized
- Ensure that each service is added only to one category to avoid conflicts and warnings about incomplete setups.
Practical Application in Shortcuts
-
Booking Appointments
- When booking a service, Shortcuts will automatically check if the selected employee has the necessary capabilities.
- If an employee is not qualified for a service (e.g., a therapist being booked for a hair color), a warning will be displayed, prompting the user to choose a capable staff member.
- For appointments that are incorrectly booked, an orange warning indicates that the employee cannot perform the service.
-
Online Booking Integration
- This capability setup also ensures that online bookings are automatically filtered to prevent employees from being booked for services they cannot perform.
