Recurring an Appointment
This guide outlines the process of setting up recurring appointments for your clients, ensuring smooth scheduling with minimal conflicts.
1. Setting Up a Recurring Appointment
-
Step 1: Select the Next Appointment Date
Right-click on the appointment you want to reoccur, then choose the option to "Recur."
For example, if the initial appointment is on February 17th, select the next appointment date (e.g., February 24th) to start the recurrence. -
Step 2: Choose the End Date for Recurrence
Set the final date for the recurring appointments. For instance, if the client requires a weekly appointment until March 31st, specify this date.
2. Managing Appointment Conflicts
-
Possible Conflict Notifications
A message may appear if an employee is unavailable on a certain date, such as when they are already booked with another client or have a scheduled break. If this happens, the system will not book the appointment for that date. -
Resolving Conflicts
If an appointment is missed due to a conflict, work with your client to reschedule. For example, if the original time slot is unavailable, propose an alternative, like moving the appointment to 12:00 PM.
3. Finalizing the Recurring Appointment
Once any conflicts are resolved, all future appointments will be successfully scheduled. The system will show a list of reoccurred bookings, allowing you to confirm the entire schedule through the set end date (e.g., March 31st).
By following these steps, you can easily set up and manage recurring appointments, ensuring your client’s needs are met while avoiding scheduling issues.
