This guide outlines the essential processes for adding, editing, and managing employee location information efficiently.

Key Features of Employee Management

Using the Employee Locations Screen

The Employee Locations feature allows users to search, view, and manage employee details efficiently.

  1. Search Options:

    • By region, site, or employee name.
    • Filter by active or inactive status.
    • Set an "effective date" to view applicable records.
  2. View Details:

    • Location History: Access historical and future location schedules.
    • Future Events: Identify and manage upcoming location changes.

Adding an Employee to Another Site

Follow these steps to add an employee to a new site with tailored settings:

  1. Open the Employee Locations menu and search for the employee.
  2. Select "Create a New Employee Location."
  3. Input site-specific details:
    • Security level and service level.
    • Booking intervals and commission schedules.
    • Enable online bookings or appointment confirmations if needed.
  4. Save changes to finalize.

Editing an Employee’s Location Details

Modify existing location details for an employee to reflect updated roles or responsibilities:

  1. Search for the relevant employee.
  2. Update information such as:
    • Security and service levels.
    • Booking intervals and notification preferences.
  3. Choose the effective date for the changes.
  4. Save the updates.

Deleting Future Location Details

Remove irrelevant or canceled future location assignments:

  1. Access the "Future Location Events" menu.
  2. Select and delete unnecessary future details.
  3. Confirm to finalize the deletion.

Note: Past location records cannot be deleted.


Making an Employee Inactive

Deactivate an employee's association with a specific site:

  1. Ensure no future appointments are linked to the employee.
    • Run the "Future Appointments" report and reallocate bookings.
  2. Set the effective date for inactivity.
  3. Untick the "Active" box and save changes.
