How to View Gift Card Reports in the Program Manager

Gift Card reports provide insights into sales, expiration, liabilities, and transactions. By accessing these reports through the Smart System Console, businesses can effectively manage their gift card programs.

Accessing Gift Card Reports

  1. Log into the Smart System Console.

  2. Navigate to the Programs tile.

  3. Select Reports.

Available Gift Card Reports

The Program Manager offers five key gift card reports:

  1. Liability Report

    • Displays total outstanding gift card liability as of a chosen date.

    • Liability is recorded at the site where the gift card was activated.

  2. Gift Card Expiry Report

    • Shows the value of expired gift cards for a specified date range.

  3. Centralised Reconciliation Report

    • Helps businesses reconcile gift card liabilities across a selected community.

    • Summarises overall liabilities.

  4. Decentralised Reconciliation Report

    • Designed for businesses with multiple sites.

    • Identifies gift card liabilities that need to be transferred between sites (e.g., when a card is redeemed at a different site than where it was purchased).

  5. Transaction History Export Report

    • Lists all gift card transactions, including activation, redemption, and cancellations.

Running a Gift Card Report

  1. Click on the name of the desired report.

  2. Select your community from the drop-down menu.

  3. Input the necessary details, such as a date range.

  4. Click Run Report.

Navigating and Exporting Reports

  • Use the arrow buttons to navigate between pages of a report.

  • Export the report in formats such as CSV, PDF, or Excel.

  • Refresh the report if needed by clicking the refresh button.
