How to Create and Manage Note Types in Shortcuts

This guide explains the steps to create a new note type, configure its settings, and adjust security permissions.

Creating a New Note Type

  1. Access the Configuration Settings:

    • Open the Setup menu on the right-hand side of the screen.
    • Click Configuration.
  2. Navigate to Visit Note Types:

    • Select General from the menu on the left side of the screen.
    • Scroll to the bottom using the green arrow and click Visit Note Types.
  3. Add a New Note Type:

    • Click New to create a new note type.
    • Enter a name for the note type and click Done to save.
  4. Customize Your Note Type:

    • Add a description for clarity.
    • Choose a tab position for the note type.
      • Note: Existing visit notes are locked to the first tab position. Additional note types can start from position 2 onwards.
    • Press Save to finalize your changes.

Adjusting Security Permissions

  1. Access Security Settings:

    • In the left navigation panel, use the green arrow to navigate up and select Security.
  2. Edit Access Levels:

    • Click the Access tab at the top of the screen.
    • Select a security level to configure.
  3. Enable Note Type Access:

    • Locate the Visit Note Type category.
    • Check the items you want this security level to access.
    • If needed, expand options for more specific settings.
  4. Repeat for All Security Levels:

    • Configure access for other security levels as needed.
    • Click Done when finished.
  5. Restart to Apply Changes:

    • Restart the application for the changes to take effect.

Key Considerations

  • Owner vs. Employee View:

    • Owners will see all note types, while employees’ access depends on the configured permissions.
    • Example: Employees might only see the Visit Note Type tab, while owners see all tabs.
  • Review Permissions Regularly:

    • Periodically check and update access levels to maintain security and relevance.
