How to Copy a Roster Period in Shortcuts

Follow these simple steps to duplicate a roster period, whether for a single employee or multiple team members.

1. Select the Area to Copy

  1. Navigate to the Tools > Schedule menu located on the right-hand side.

  2. Locate the schedule that you want to copy.

  3. Click Mark Cells button on the top left to begin selecting the area you want to copy.

  4. Click the first and last cells of the desired range (e.g., Monday to Sunday under a specific employee). Be sure to select a seven-day range, you can also highlight a 14-day range if an employee is on an alternating week schedule. 

  5. Right-click the selected area and choose Roster Until.

  6. Set the end date for the repeating schedule (e.g., until the end of September).

2. Copy Small Areas

  • You can copy a highlighted area and move it further down the schedule, or to another employee.
  • For smaller areas click Mark Cells and highlight the desired range, then hold the ALT key click, drag, and drop the selected cells into the new area.

  • To deselect, press Unmark Cells.

3. Copy Larger Periods (Multiple Employees)

  1. Select Mark Cells at the top left.

  2. Highlight a weekly period (Monday to Sunday), however you may start on Monday for one employee, and select the Sunday under another employee column. Al of the cells in between those two days will be highlighted.

  3. Right-click the selected area and choose Schedule Until.

  4. Set the end date for the repeating schedule (e.g., until the end of September).

  5. Confirm the selection by pressing Yes.

  6. Deselect by pressing Unmark Cells.

4. Verify the Roster

  • Check the updated roster to ensure it is planned out until the specified end date.

  • Use Weekly Blocks: Always copy schedules in blocks of seven days to maintain alignment.

  • Preview Changes: Review the roster after copying to verify accuracy.
