Configuring Self Check-In and Wallboard Settings

This guide provides a step-by-step approach to configuring your Self Check-In and Wallboard settings, enabling you to streamline operations and enhance client experiences. 

Accessing Self Check-In and Wallboard Settings

  1. Log In: Access your Smart System Console.

  2. Navigate to Self Check-in Settings: Click on the arrow on the right side to "Page 2" to view more options, then select Self Check-In Settings.

  3. Select Site (if applicable): Choose the site you want to configure settings for if you have multiple locations.


Configuring Self Check-In Settings

1. Self Check-In Modes

  • Client Mode: Allows clients to add or update their personal details.

  • Walk-In Manager Mode: Enables clients to update personal details and join the walk-in manager queue.

2. Device-Based Settings

  • Configure settings for kiosks, mobile devices, and web check-ins.

3. User Profile Types

  • Client List: Collects detailed client data.

  • Anonymous Users: Allows anonymous check-ins without collecting personal details.

4. Client Data Fields

  • Customize fields to collect specific client information.

  • Mark fields as Mandatory for required data entry.

  • Enable search options for returning clients to locate existing profiles.

5. Additional Options

  • Demographics Collection: Gather extra data like address and age.

  • Employee Requests: Allow clients to select a preferred employee.

  • Service Pricing Display: Show prices alongside services.

  • Wait Time Estimates: Display estimated wait times for transparency.

  • Delay Visit Option: Enable clients to delay their visit based on travel or other needs.

6. Security and Accessibility

  • Verification Codes: Require a code for remote check-ins.

  • On-Screen Keyboards: Customize keyboard colors for kiosks.

  • Confirmation Screens: Prompt clients to confirm their visit details.

7. Timer Settings

  • Idle time warnings and automatic return to start screens can be customized:

    • Keypad Idle Time (default: 60 seconds).

    • Summary Page Display Duration.

8. Disclaimers and Notices

  • Display legal disclaimers or important notices during check-in.

9. Notifications and Reminders

  • Enable SMS reminders for appointments.

  • Pre-select SMS notification options for ease of use.

10. Exit Controls

  • Configure a 4-digit PIN to prevent unauthorized exits.


Configuring Wallboard Settings

1. Display Options

  • Wait Times: Show estimated wait times for each client.

  • Queue Position Numbers: Display position numbers for better tracking.

  • Requested Employees: Indicate employee preferences.

  • Legend Display: Provide visual cues for better understanding.

2. Queue Management

  • Set a maximum number of clients to display in the main queue.

  • Enable a clock display for time tracking.

3. Backup Display Options

  • Configure a URL to be displayed when the wallboard is unavailable.


Copying Settings Across Sites

For businesses with multiple locations, settings can be copied across sites:

  1. Click Copy Settings.

  2. Select the source site and settings to copy.

  3. Choose destination sites and click Copy Settings.


Saving and Applying Settings

Once you’ve customized the settings:

  1. Review your changes.

  2. Press Save to apply the configurations.
