Single view of appointments and walkin visits 

Managing a mix of appointments and walkin visits is now easier than ever, with both types of guest services appearing on the Appointment Book in the relevant timeslots.

Walkin Manager estimated start times continue to be updated frequently, and visits are automatically reflected in the Appointment Book for simple visibility and guest management.

Walkin services are identifiable with “Walkin: [guest name]”, and those visits cannot be manipulated directly through the Appointment Book – users may continue doing so using the Walkin Manager. 

 

Note: 60-minute walkin services can span 5 x 15-minute timeslots instead of 4. This is intentional as a way of erring on the side of caution to avoid any over-promising of start times to arriving guests. 

In addition, the Appointment Book now also clearly displays and blocks out employee ‘Away’ times. Self Check-in Kiosk, Walkin Manager and Online Booking applications will consider the employee as being unavailable for guest services during ‘Away’ times. 

Reschedule appointments  

A more intuitive process has been created to step users through rescheduling appointments: Select new date > Select time > Confirm timeslot  

  1. Right-click the client’s service, then select Reschedule. 



  2. Select the new date for the appointment. 



  3. Click in the timeslot the appointment should start. 



  4. Confirm that you would like to reschedule the appointment. 



  5.   The appointment has now been rescheduled. 

 

Employee Level indicator 

Identify employees’ levels by referring to the coloured bars underneath their names now, rather than th colours behind their photos.  

 

Scheduling tasks (non-bookable) times in the Appointment Book 

When blocking out time in the Appointment Book to spend on miscellaneous tasks, some minor changes have been made: 

  1. Click on the appointment timeslot for the required employee. 
  2. On the Clients screen, click the “Schedule a Task” button towards the top of the screen. It is no longer displayed at the top of the Client Search results list. 
  3. Click to select the Task you wish to add. 
  4. Click Done. 
  5. Move and/or resize the task as required. 

 

Scheduling a class in the Appointment Book 

When scheduling a class, some minor changes have been made: 

  1. Click on the appointment timeslot for the required employee. 
  2. On the Clients screen, click the “Schedule a Class” button in the top right of the screen. It is no longer displayed at the top of the Client Search results list. 
  3. Click to select the Class you wish to book. 
  4. Click Done. 

 

Appointment Schedule 

The appointment schedule, which appears when you double- click on an appointment, has been updated with a new, clean look & feel as well as some small usability changes. 

  • The date that appears in the header of the appointment schedule is now displayed in the local date format 
  • Client contact details have been moved to the top of the appointment schedule for ease of reference 
  • 'Work phone’ has also been replaced with ‘email ’, as this contact method is much more frequently used. 

 

Appointment Touch Tip 

The appointment touch tip, which appears after single-clicking on an appointment, has been updated with a new look and feel. The following information has also been added to the touch tip, allowing for summarized information at-a-glance: 

  • The Booking source appears under the client’s details 
  • Resource (room or equipment) appears against the relevant services 
  • ‘REQ’ will be displayed for services where the client requested the employee 
  • Appointment status (e.g. Booked, Arrived, etc) will appear at the bottom left 

 

Various quick actions can now be performed directly via the touch tip: 

  • The client’s profile card is now directly accessible from within the touch tip by clicking on the client’s name or the edit pencil icon. 
  • Depending on the status of the appointment, buttons for the most common following actions will appear, allowing users to quickly Confirm, Arrive, Checkout, etc. 
  • Additional actions can be accessed from the “...” (more) menu, including: 
  • No show 
  • Reschedule 
  • Change Service 
  • Client History 
  • Notes 
  • Appointment history
