Manage and assign employee permissions
Learn how to set up and allocate security roles to employees or team members.

Before we begin, here's some Shortcuts lingo:
- Permissions are individual rules that define how much control or access a person has to your Shortcuts Aire workspace. Examples of different permissions are: creating services, viewing services and setting up related services for online booking.
- Roles have a set of permissions assigned to them. Examples of roles are Employee or Site Manager. (A site is a single location of your business). Using roles helps you save time by assigning new employees to an existing role, rather than having to revisit each permission.
- If you’re unsure of what to do with your employees, we recommend using the default Employee or Site Manager roles.
Review Default Security Roles
- From the Menu go to Business settings then select Roles and permissions.
- Select the role on the left you wish to review, “Employee” or “Site Manager”.
- The default view will list which permissions are allocated to the role.
- To change permissions for a Default Role, see the section “Edit Permissions for a Role”.
Create a new Role (Optional)
- Select "New" to create a unique Role if needed.
- Enter a name for the new security level in the “Role” field.
- Ensure status is set to “Active”.
- Adjust permission settings as indicated above.
Edit Permissions for a Role
- Select "Permissions" to define what actions the employee can perform.
- Adjust the “Yes”/”No” sliders under various categories (e.g. General, Customer, Employee, Reports, etc.) to grant permissions as needed.
- Select "Done" in the bottom right-hand corner to save the configured security level and review the summary.

You can also assign employees to a role from this screen in the "Employees" section.
Assign a Role to an employee
- From the Menu go to Employees, then the Employees sub-menu.
- Select the Employee on the left that you want to assign the security level to.
- Select the "Roles" icon in the bottom left-hand corner.
- Under “Assign roles” select the role/s to allocate to the employee. (Note, you can assign multiple roles to an employee - try checking multiple boxes).
- Click the "Done" icon in the bottom right corner to save your changes.
- Come back to change an employee’s role and permission settings at any time.
