Export a customer's data at their request

Learn how to export an individual customer or client’s data at their request.

ℹ️ This article is NOT about exporting all customer data to a new platform. This functionality is not currently available in Shortcuts Aire.

What is a Customer Data Request?

Customers may request a copy of the data that your business has stored about them. It is best practice to answer this request within 30 days. In Shortcuts Aire you can generate this information to send to your customers via email.
 
This information may include:
  • Customer details (including personal and contact information)
  • Marketing opt-in
  • Privacy policy acceptance
  • Transaction history
  • Future appointments booked
  • Visit notes
  • Loyalty/Memberships
  • Contraindications
  • Outstanding items (e.g. points balance, accounts receivable)
In addition, your business may record customer data outside the Shortcuts ecosystem, which should be considered.
 

How do I generate the information for a Customer Data Request?

  • Firstly, ensure your Data protection settings are set up. See the article “Set up your Data Privacy Policy” for more information.
  • From the Menu select Customers
  • Type in the customer’s name in the search bar on top left-hand side.
  • Select the customer from the search results.
  • Select the three dots at the bottom of the screen and select the “Customer data request” option.

  • Select how the customer wishes to receive their data (either via Email, Phone or Mail).

  • An email will be sent to the Data Privacy Officer email address provided under your Data protection settings (look for the subject line “Client data request”). Instructions will be provided in this email about how and where to contact the customer to provide the information from the Data request.
