Create and edit services

Learn how add new services and edit existing ones in your Service catalogue.

Access Service Menu Setup

  • Open the menu by clicking the three lines in the top left-hand corner, then select "Services".

Review your existing Service Catalogue

  • Shortcuts Aire comes with a pre-configured catalogue of services categories and individual services to help get you started quickly.
  • Find your service catalogue by navigating to Services from the main menu.
  • Here you’ll see existing Service Categories for your industry. Categories that are visible are active and can be booked.
  • Note: You cannot edit the name of Service Categories or Services in the default category. 

Review your Service Categories

  • Click on the pencil icon to edit a Service category.

  • Here you can make categories active or inactive, and identify whether they’re available to be booked online.
  • We recommend setting “Online booking” to “Yes”. (Allowing the Service Category to be bookable online doesn’t mean each service in that category can be booked online. You can choose which services in each category are visible on your Online Booking website further below).

Add a new Service Category

Check if Service Category exists but is inactive (before adding new category)

Check that the Service Category doesn’t already exist by selecting the filter icon and selecting the checkbox for “Inactive.” Inactive service categories will appear greyed out with a hashed pattern.

If the Service Category you’re after exists, click on the pencil icon next to the inactive Service Category. Update the “Status” and “Online booking” toggles to “Yes”. They will now appear in your default Service catalogue.

If service category doesn’t exist, add a new Service category

  • Click on the “New category” icon in the bottom left-hand corner.

  • Enter name of category.
  • Ensure Status is set to “Active”.
  • Turn Online booking toggle to “Yes.” Even if you’re not currently using Online Booking, set "Online Booking" to "Yes" under each category so that the category will be ready if/when you decide to use this in the future.

Review individual Services

  • To view individual Services: select a Service Category.  Here you’ll see the list of services that belong to that category.

  • To edit a Service click on the the name.

  • Review details of the service such as:
    • Service name
    • Service description: Visible on your online booking website
    • Service category
    • Employees assigned: Select which employees can perform this service. This will be reflected when making bookings directly in the appointment book and on your online booking website. NOTE: By default, any new services created will be able to be performed by all employees.
    • Service price and tax type
    • Service duration
    • Break time: A break period following the Service.
    • Can be booked: If the appointment is bookable (from your appointment book, not online booking)
    • Online booking: If the appointment is available for online booking
    • Visit note required
  • Select the "Done" icon in the bottom right corner to save your changes.
 

Check if individual Service exists but is inactive (before adding new Service)

  • Check that the service doesn’t already exist by selecting the filter icon and selecting the checkbox for “Inactive.” Inactive services will appear greyed out with a hashed pattern.

  • Click on the service name. Change status to “Active.” Review service details and select “Done” to save your changes.
  • The service will now be visible in your active service list.
 

If individual Service doesn’t exist, add a new Service (without Sub-services)

  • Select the service category your Service will belong to.
  • Select the “New service” icon in the bottom right-hand corner.

  • Set the status to "Active".
  • Add details of the service such as:
    • Service name
    • Service description: visible on your online booking website
    • Service category
    • Employees assigned: Select which employees can perform this service. This will be reflected when making bookings directly in the appointment book and on your online booking website. NOTE: By default, any new services created will be able to be performed by all employees.
    • Service price and tax type
    • Service duration
    • Break time: A break period following the Service.
    • Can be booked: If the appointment is bookable (from your appointment book, not online booking)

  • Select the "Done" icon in the bottom right corner to save your changes.

If individual Service doesn’t exist, add a new Service (with Sub-services)

  • Use Sub-services to set up things like Service packages, or Services with a finishing block.

ℹ️ Examples:

Service name: Colour and Massage Package
  • Service 1 (Block 1) - Colour service
  • Service 2 (Block 2) - Head massage

Service name: Full head foils

  • Service 1 (Block 1) - Full head foils (75 mins Service time and 45 mins break)
  • Service 2 (Block 2) - Dry Off (set up as a 15 mins finishing block)
  • Select the service category your Service will belong to.
  • Select the “New service” icon in the bottom right-hand corner.

  • Set the status to "Active"
  • Add service name, description and category. Do not set pricing or duration yet.
  • Under “Pricing and duration” select the “Create sub-service button”

  • Add details of the service such as:
    • Sub-service name
    • Sub-service description: visible on your online booking website
    • Sub-service price and tax type
    • Sub-service duration
    • Sub-service break time
  • Select the "Done" icon in the bottom right corner to save your changes.
  • Repeat for the number of Sub-services you want to add. The price and duration for the overall Service will automatically calculate based on the settings for the Sub-services. You can also select which Service is the ‘main’ Service here.

Update remaining service details
    • Can be booked: If the appointment is bookable (from your Appointment Book, not Online Booking).
    • Online booking: If the appointment is available for online booking.
    • If a visit note is required.
  • Select the "Done" icon in the bottom right corner to save your changes.

ℹ️ Note that Sub-services cannot be assigned to different employees in the Appointment Book.
