Add an employee

Learn how to add an employee or team member.

ℹ️ This feature is available in the Pro plan.

Add a new employee

  • From the Menu navigate to Employees and then select Employees.
  • Click on "New Employee" at the bottom of the screen.

⚠️Remember to review your Subscription to ensure that it supports the number of employees you need. See " Manage your Shortcuts Aire subscription" for more information. 

Enter employee details

  • Enter the Alias, First name, Last name and Gender.
    • Note that the Alias will display in the Appointment Book.
    • Note Gender is mandatory as it is a filter option for customers in Online Booking.
  • Optional: Enter start date, biography, contact details and upload an image.
  • Set status is set to “Active” to ensure the employee is visible in the Appointment Book, Roster and Online Booking where relevant.

Choose which services an employee can perform

  • Select which services the employee can perform. This will be reflected when making bookings directly in the appointment book and on your online booking website.
  • NOTE: By default, a new employee will be able to perform all services.

Configure an employee’s Appointment Book settings

  • Choose the employee’s time intervals in the Appointment Book. For example, 
    makeup artists and hair stylists may use different calendar intervals for taking bookings.
  • Choose if confirmation messages should be sent to the client for appointments booked with the employee.
  • Choose if the employee displays in the Appointment Book.
  • Click the "Done" icon in the bottom right corner to save your changes.

Choose which order employees are visible in your Appointment Book

  • Hold and drag the employee name to rearrange the order of employees in your Appointment Book (top to bottom = left to right in the Appointment Book).
  • Once you’re happy with the order, select the back button.
  • Then press “Done” at the bottom of the screen to save your changes.

Enable employee to be booked for Online Booking

  • Re-select the employee name

  • Scroll down to “Appointment book”.
  • Turn toggle to Yes for “Online booking”.
  • Select “Done” to save your changes.
  • Note: if “Can be booked” is “No” the employee can’t be booked for services via Online Booking OR the Appointment Book.

Invite an employee to your workspace

  • Select “Roles” at the bottom of the screen.

  • Ensure “Login access” is set to “Yes”.
  • Enter your employee’s username and their email address (note the employee will log in with their username, we recommend inputting their email in the “username” field to  avoid any confusion).
  • Select the role(s) of the employee.
  • Select “Done” to invite your new employee to your Shortcuts Aire workspace.

  • Once you’ve selected “Done”, a confirmation window will appear, indicating that the employee has been set up and an email with login details has been sent to them.
